MEETING 6 (ASKING AND FOR GIVING OPINIONS)


Topic : Asking  for and giving opinions
Diaz         : Good morning, everyone! Thank you for coming here. In today’s meeting, we’re gonna discuss to boost our customer service as a beauty salon. First, I’d like to hear if anyone has idea for increasing our customer service quality?
Olive        : I think, we need to provide varieties of products from many brands with different usage.
Diaz         : What is the purpose of your idea?
Olive        : As our business grow bigger and larger, we need to keep up our game in satisfying customers. By increasing product variations, customers could choose what they desire or need. Some people might even have brands that they trust, so we could fulfil what they want.
Ayna        : But, what if the customers couldn’t choose the right treatment for themselves?
Diaz         : Right, we should think about that too.
Ayna        : In my opinion, hiring beauty experts is also a must. Customers come with various problems. It might be about their hair, facial skin, or body. Hair and skin with different types and different conditions need different treatments too.
Olive        : It costs much money to do that. Stocking products from various brands will be much cheaper as long as we find the right supplier.
Ayna        : We should consider the fact that many customers have no idea how to choose the right products and even get lost with various products we provide. For that, we need to hire some beauty experts who can consult the customers to customise their needs. Hair and skin are complex things, we don’t want the staffs to mistreat customers’ hair or skin. Do You agree with me, Laras?
Laras        : I don’t agree with you. From my point of view, if we offer many products, we could sell it without having treatment. It might be more advantageous for our business.
Diaz         : Still, hiring beauty experts is quite important.
Laras        : We have more than enough staffs that are experienced. If we have various products, customers have more choices and we could also make beauty packages for them to choose.
Gita          : What if the staffs make mistakes in treating customers and they don’t feel satisfied about that? We want the best for our customers hence the experts we hire are categorised into hair experts, face experts, and body experts, means they really focus on what they’re good at. So, it is not problem if we don’t have various products from various brands. As long as we have products for specific usage, the experts would handle it with no worries. We won’t be risking our company name too by hiring experts.
Tiara         : I have an idea from both your ideas. Well, I reckon it will turn out great.
Diaz         : What it is?
Tiara         : How about combining those ideas?
Diaz         : What do you mean? We can’t afford to do them both since we have a budget.
Tiara         : Various products will be more benefecial for our income, but hiring beauty experts means better customer service and that’s our main goal. For the products, we need to find first hand supplier so the prices will be much cheaper than if we buy it from the market. And for beauty experts, we could hire a group of really talented experts so they could train our staffs. The staffs will get new experience and so we can cut down the budget without risking our customers end up dissapointed. If we ever have dissatisfied customers, we have the experts to handle them.
Diaz         : That’s a great idea. To sum up, we are combining between beuty expert and adding various product. We hire only a group of beauty expert, not many, they will train our staffs and the staffs will get new experiences. That’s all for todays meeting. MEETING 5 (DISCUSSING PROGRESS)

Discuss The Progress Of The Job
Business Job/Project : Birthday Party

·        EXPLAINING THE GOAL(S) AND BENEFIT(S) OF THE JOB/PROJECT

The biggest project of this month is organising a birthday party for an eight year old. Goal number one of course, birthday party should be fun. A theme is needed so the whole event would turn out great. A theme will also make it easier for us to plan the rundown, decorate the space, etc. We need to hire a great MC and make games with various presents.
The kid that is having the party comes from quiet a rich family. Many people are expected to show up. So, the second goal is to provide a big space. So the choice comes down to a hall. The hall has to be in downtown so it will be easy to access from many directions. Big hall is also useful to store gifts from people.
The event will take place in a spacious place, so it is easy to have distance between each other and not in a family vibe. Creating a warm and cozy atmosphere is the third goal. We need to decorate the place beautifully and also put some cozy chairs for parents to bond.
Last but not least, the birthday kid himself. He wants a massive fun birthday party. A grand cake, many baloons, entertainers, streamers and confetti are needed. We also need to provide goody bags for other kids to take home.

·        EXPLAINING PROCESS CHAIN (FROM THE START UP THE END) OF THE JOB

First process from birthday party is do a consult to their family to find out what they want, like a good day and a good time for the party. A good day for the party is in weekend and a good time for the party is in the afternoon. After select a day and a time, preparation of budget for the birthday party. Budget for the party is around Rp. 100.000.000. After decide the budget, create a guests list for the party, like families, friends, and neighbors. After that, decide the place for the party, and the place is in Hotel Ballroom. Decide the theme for the party, and the theme is cartoon movie because the kids like cartoon movie and there are some cartoon clowns too.
After all finish, send the invitations to the geusts list one week before the party. Create a plan for the foods and beverages, because it’s for kids so the food is not too spicy like birthday cake, cupcakes, fruit, pudding, brownies, and cookies. And for beverage, the taste must sweet like fruit juice, milk and smoothies. In 1 day before the party, decoration the ballroom with cartoon balloons, confetti, cartoon hat,,cartoon mask and etc to match the theme. On the day, serve the foods, beverages and birthday cake in the table before the guests come. When the guests come, make sure the party can be enjoy for all the guests and the kids can play with the clowns and then the party can go according to the schedules of the party, the schedules are opening, speech from their parents, blowing candles, cutting cakes, eat the food and drink beverages, and closing. After the party finisih, give snack packages to all the guest.


·        EXPLAINING HIS/HERSELF EXPERIENCE

EO is providing services to clients. Therefore, no matter how difficult the EO challenges as possible do not reject any work that comes. For work to be more effective, one week before the event process takes place. The client discusses the concept of the program he wants to EO. This is important to discuss so that the next step is easier to do. However, we as EO still provide input and recommendations to clients on the concepts that clients want, so that the concept of the event can be maximized.
In this case the form of service to the client must be optimal to meet the wishes of the client. We designed this birthday party by arranging all the chairs for the children, buying cakes that were designed to be attractive and various party supplies. And also we present expert readers and magic attractions whose specialty is for children's birthday party entertainment. n this case the form of service to the client must be optimal to meet the wishes of the client. At the party venue, we and all the crew will check whether all the decorations are done well and make sure the event goes well until the birthday event is finished successfully



·        EXPLAINING HOW TO DELEGATE THE PARTS OF THE JOB

In order for a goal that is expected to run smoothly, in this EO business there needs to be delegation of tasks to create work efficiency. This delegation is done so that each part can focus on what the object of their work is in accordance with their abilities, so that it can save time and effort. In delegating tasks, the first step we take is to determine each type of task with clear details of the tasks such as how the concept and schedule must be carried out by each part.
For example Laras and Diaz from the decoration section must prepare various properties that support to present an event venue that fits the client's wishes with a deadline that is determined and adjusted to the bugdet that has been agreed with the client. Laras and Diaz also have the ability to decorate.
Likewise with Tiara from the consumption department, find out what kind of food the client wants by looking for quality catering. Tiara knows the types of foods that are suitable and often served on children's birthdays, including birthday cakes which are one of the most important things on a birthday event. In addition, tiara also has connections with catering and cake companies so that product quality is guaranteed and can reduce the costs incurred.
Next to the souvenir section, the responsibility is given to Gita. Where Gita knows the development of trends that are being liked by children. For example souvenirs are given in the form of slime or squshy which are currently being favored by children with packaging in the form of attractive cartoons.
After that for the event, Ayna and Olivia prepared the best roundown event. By knowing what you want to present at the client's request and focus on making the event as expected.
In order for the event to run according to expectations, each part focuses on what is their responsibility. In addition, to make a good delegation. Our EO makes clear communication throughout the team, starting from various information on the concept of the program that the client wants, to the obstacles faced by each part so that the project leader can help find solutions to achieve the success of an event.
·        EXPLAINING HOW TO GIVE WEEKLY REPORTS OF THE JOB PROGRESS

As a good event organizer of children birthday party, we have weekly reports of the progress. Here are some reports:
1st week :
Hold a meeting to discuss about party theme, party date and time, party budget, and fix the number of the guests invited.
Result   :       After take a long time to discuss with the client, we choose cartoon movie as party theme. It because the children like cartoon a lot, so it can’t make them bored. And then we choose 9th december 2018 (on Sunday) to hold a party, because luckily it is client’s daughter birthday. We also choose 4 p.m. as a party time, because the sun isn’t too stinging to go out and it’s good to children after take a nap in the afternoon. We also agree with the budget is about Rp. 100.000.000,-. It’s perfect budget to make festive party not only for children but also for their parents and client’s relations. From the budget, we could fix the number of the guests invited is around 20 childrens and 35 client’s relations. So the fix number is 55 people. But we make 10 more unexpected space for unexpected guests.
2nd week:
Doing survey some places to get the best place for the party, but not only that, there we also discussing about entertainment that client’s want, and the photographer.
Result   :          We have visited five places : Ballroom of Margo Hotel, Unicorn Cafe, Sasana Kriya TMII building, Rumah Ranadi, and Chakra. Here are explanations about the places
a.       Ballroom of Margo Hotel : This is the best place to hold a party for a quite rich family, it provides some facilities (chairs, tables, and others) and also big space. It can be decorated beautifully. It’ll be cozy to all guests.
b.      Unicorn Cafe : There’s a lot of girls stuffs like unicorn dolls, girls toys, etc, and the children guests aren’t only girls, but also boys. So we didn’t choose this place.
c.       Sasana Kriya TMII Building : Other people have booked this place
d.      Rumah Ranandi : It’s an outdoor place. So if it;s rainning, we can hold a party.
e.       Chakra : There’s full of water, it is not safe for the children
And we finally booked Ballroom of Margo Hotel to be a party place.
Furthermore about entertainment, we rent four clowns to entertein the guests, and we place each clown on the each corner of the building.
And then about the photographer, we decide to use our mainstay photographer “Flownhat Photographer’. Because it’s trusted since seven years ago.
3rd week:
Ordering and doing design paper invitation, planning party decor, fixing the best catering and listing the menu, preparing goodie bags for the party souvenirs.
Result   :          We’ve ordered paper invitation on berry berry paper shop, and it will take a week to complete the design and printing. The fix number of paper invitation is 65 invitations.
The things that we need to decor the party are some balloons, cozy chairs for childrens and their parents, confettis, steramers, christmast lights, and other things that our staff have managed.
We booked Samanta Catering as a party catering. They’re offering some menu packages for us. And we choose packages 4 for children because it is not spicy and the taste is sweet (because they like sweet food). For the parents, we choose package 6, it has various taste.
Sixty goodie bags are ordered from Polysal Shop, We ordered that number to anticipate if there are children who want ask for more goodie bags.


4th week :
Arranging the party schedule
Result :          The party schedule is arranging from the opening, speech from the client, blowing candles and making a wish, cutting the cakes, eating the food and drinking the bevarage, the children playing with the clowns, free time and closing.
That’s our weekly reports from the begining until now.

·        EXPLAINING HOW TO COPE WITH/HANDLE SOME CHANGES NEEDED BY CUSTOMERS/CLIENT

Everyone in business has to deal with an customer whose wishes change. The challenge is to handle the situation in a way that leaves the customer thinking you operate a great job.
How to handle some problem in the birthday party
-          The client requested that there was no shortage of food on the table, so we always check the food on the table and we will soon fill the food if the food runs out
-          The clown of a sudden can’t attend the event, so we quickly search a replacement for a clown
This is steps to handle some changes needed by customers/client.
-          Listen and Understand Client
A deciding factor for a business to succeed is an open communication. Sometimes, all a customer wants, is to be heard. Begin with understanding why the customer is having second thoughts by asking “What would be an acceptable solution to you”. Before we offer solutions, ask the customers how he would like the problem to be resolved offer choices whenever possible. Listen the customers, don’t look for the nearest exit because the customers wants to be listened to and understood
-          Write all what want to change from the original plan and we will explain solution . It’s more than likely that the client will understand, and go with what you think is best.
-          Dealing with revision
If work change, or if it involves more time than estimated, we will inform Client and they can renegotiate the work’s cost. At this point if the client requires something outside of first plan , we must take into defining new goals and coming up with a new additional cost. And if the client had issues with this, then we have every right to cancel the project. Seek out the best way to handle the situation and give the right solution for the project
-          Defining the project goals what will to change
When discussing the project, figure out in great detail what the client is expecting. Once we have all of the details we need, get a final approval from the client on what’s been established. If the client agrees with what’s been defined, then move forward to the next step
-          How to prevent unnecessary client requests
The best thing we can do for every project is to discuss and define specific goals. Before we take any payments for the design work, it’s imperative that both we and the client are on the same page. During preliminary discussions about the project, go over their goals (specifics of what they’re in need of), expectations (steps to take and when), but also define the roles you both will play. Client is the expert in their field, so they should be delivering their project goals in detail. Then it’s my job to take those goals and seek out the right solution
